Travel Terms by Sponsor

MIT Standard Terms (apply unless Sponsor specifies otherwise)

  • Travel must be for an appropriate business purpose, and charged to the appropriate cost objects
  • Travelers may fly Business Class (or First Class if Business Class service is not offered on the flight) only when the flight has a scheduled in-air flying time greater than 6 hours or if any part of a round trip airfare is in excess of six hours. The difference in the cost of Business Class (or First Class if Business Class service is not offered on the flight) may not be charged to sponsored projects unless the grant explicitly allows such expenses. Travelers who fly Business Class (or First Class) must follow the requirements for documenting the lowest available coach fare (per 3.03 above). They must allocate the difference between the Business Class (or First Class) fare and the lowest available Coach fair to a non-sponsored discretionary cost object.

Air Force Office of Scientific Research (AFOSR)

  • Use of U.S. Carriers for flights is required per the Fly America Act (49 USC 40118)
  • The Department of Defense does not allow exceptions under the Open Skies Agreements.

Army Research Office (ARO) and Army Research Laboratory (ARL)

  • Use of U.S. Carriers for flights is required per the Fly America Act (49 USC 40118)
  • The Department of Defense does not allow exceptions under the Open Skies Agreements.

Defense Advanced Research Projects Agency (DARPA)

  • Under Construction

Department of Energy (DOE) – Office of Science

National Aeronautics and  Space Administration (NASA)

National Endowment for the Humanities (NEH)

  • Under Construction

National Institutes of Health (NIH)

National Oceanic and Atmospheric Administration (NOAA)

  • Use of US Carriers required per the Fly America Act
  • Foreign travel requires prior approval

National Science Foundation (NSF)

Office of Naval Research (ONR)

  • Use of U.S. Carriers for flights is required per the Fly America Act (49 USC 40118)
